Part I - General provisions

Personal data administrator

Definitions

Terms used in this document mean:

  1. "Application", "Scanner" - the Mycroft Scanner application developed, maintained and made available by the Supplier, used to search for personal data in the organisation's IT resources - on computer disks, in e-mail boxes, databases and the cloud.
  2. "Application", "Website" - a web application managing the work of scanners, enabling user management, ordering scans and searches, and analysis of results;
  3. "Supplier" - Mycroft Solutions Sp. z o. o., based at ul. Żurawia 71, 15-540 Białystok;
  4. "User" - a person who uses the Application or the Website;
  5. "Policy" - means this document, i.e. the privacy policy;
  6. "GDPR" - Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of individuals with regard to the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC (general regulation on data protection);

Your personal data rights

In connection with the processing of your personal data by us, you have the right to:

  • have access to your personal data and obtain confirmation as to whether your personal data is being used, obtain a copy of your personal data and obtain information related to the use of this data (Article 15 of the GDPR),
  • receive a copy of your personal data, which you have provided to us, and provide this copy to you or the entity indicated by you in a commonly used, machine-readable format (Article 20 of the GDPR),
  • rectify your personal data when it is incomplete or incorrect (Article 16 of the GDPR),
  • delete all or some of your personal data (Article 17 of the GDPR) if the personal data is no longer necessary for the purposes for which it was collected, if you withdraw your consent to the processing of personal data or raise a justified objection,
  • limit the use of your personal data (Article 18 of the GDPR) for the time necessary to decide on the legitimacy of the request to delete or rectify this data or to decide on the legitimacy of your objection or for the time necessary to establish, assert or defend claims;

You can object to the use of your personal data based on our legitimate interest (Article 21 of the GDPR). As a result of the objection, we will consider whether, for reasons related to your particular situation, your rights and freedoms have priority over the protection of confidentiality of the personal data we process.

You can withdraw your consent to the use of your personal data at any time (Article 7 of the GDPR). Withdrawal of consent does not affect the lawfulness of its use on the basis of consent before its withdrawal. You can withdraw your consent when we process your data for the purpose of sending the newsletter and information about our products and services.

You have the right to lodge a complaint regarding the use of your data to the President of the Office for Personal Data Protection, ul. Stawki 2, 00-193 Warsaw. You may submit a complaint in electronic form, in writing or orally for the record at the seat of the President of the Office.

Part II - Information on the processing of your personal data on the Website

Contact us via the contact form, e-mail or telephone number

We process your personal data provided by you when contacting us (in particular, your name, surname, e-mail address and other data provided by you when contacting us). Providing this personal data is necessary to be able to make contact. We process the above-mentioned personal data in order to answer the query sent by you. We act on the basis of our legitimate interest consisting in resolving the case presented by you and replying to your message. (Article 6 (1) (f) of the GDPR). We will process your data for the time needed to resolve the case presented by you. Depending on its type, also for the time needed to prove that we have terminated it, i.e. for the period of limitation of claims.

Registration on the Website

We process your personal data that you provided in the registration form to enable you to set up and use an account on our Website in order to perform the agreement for the use of the Application. The basis of our operation is the performance of the agreement we conclude with you (Article 6 (1) (b) of the GDPR). We process your data for the duration of the agreement for the use of the Application.

Adding you by the User as a person who may use the Application

If another User has added you as a person who can use the Application, we process your personal data in order to perform the agreement for the use of the Application concluded with the User. Your data was provided to us by the User who indicated you as the person authorised to use the Application. We process your data on the basis of our legitimate interest in exercising the User's rights, to which we have committed ourselves in the agreement for the use of the Application (Article 6 (1) (f) of the GDPR).

Subscribing to the newsletter

We use your personal data, including your name, surname, e-mail address and location data, in order to provide you with information about our activities, actions taken and planned actions, as well as educational materials. The basis of our activity is the consent you give us (Article 6 (1) (a) of the GDPR). You can unsubscribe at any time by writing to the Provider's address. We process your data until you withdraw your consent or stop sending messages by us.

Using Facebook Fan page

We process your personal data collected in connection with the visit to our fan page on Facebook and the activity undertaken on the forum, including information about following and liking the fan page, posting posts, comments and reactions. According to the specifics of Facebook's operation, this information is open to all or some of the users of the portals.

We process your personal data for the purpose of:

  1. running a fan page;
  2. responding to private messages that you send to us via Facebook;
  3. discussing with you as part of comments on individual posts;
  4. marketing consisting in informing you about our services and ourselves by means of posts that we place on our Fan page;
  5. statistical purposes, consisting in the provision of information by Facebook about the views of posts, reach, interactions and demographic data of the followers. These are statistical data, but Facebook creates them based on the observation of your behaviour on a social network;

The basis of our operation is the legitimate interest consisting in responding to your messages and comments, providing you with content, including information about our services and about us, and statistical data analysis (Article 6 (1) (f) of the GDPR). We process your data for the period of your observation of our fan page and for the period necessary to resolve your case or answer your inquiry.

Use of LinkedIn

We process your personal data collected in connection with the visit to our profile on LinkedIn and activity undertaken on the forum, including information about following and liking the profile, posting posts, comments and reactions. According to the specifics of the LinkedIn operation, this information is open to all or some of the portal users.

We process your personal data for the purpose of:

  1. keeping a profile;
  2. responding to private messages you send to us through LinkedIn;
  3. discussing with you as part of comments on individual posts;
  4. conducting the recruitment process and enabling you to submit documents in connection with the recruitment;
  5. marketing consisting in informing you about our services and about ourselves through posts that we place on our profile;
  6. statistical purposes, consisting in the provision by LinkedIn of information about post views, reach, interactions and demographic data of followers. These are statistical data, but LinkedIn creates them based on the observation of your behaviour on the social network.

The basis of our operation is the legitimate interest of responding to your messages and comments, providing you with content, including information about our services and about us, and statistical data analysis (Article 6 (1) (f) of the GDPR). We process your data for the period of your observation of our profile and for the period necessary to resolve your case or answer your inquiry.

In addition, personal data may be transferred to entities cooperating with us on the basis of concluded agreements for entrusting the processing of personal data.

Artificial Intelligence

Our Application identifies personal data using advanced artificial intelligence algorithms to search information stored in digital resources. In order to effectively detect personal data, we use the following artificial intelligence technologies:

  1. natural language processing to learn patterns and statistics in languages;
  2. probabilistic models for determining the context of the analysed text and determining its meaning, which will enable us to transform data into information;
  3. combinations of machine learning algorithms to classify documents and increase understanding of semantic context.

Therefore, your personal data may be profiled to improve the operation of the Application.

Part III - Cookies

What are cookies

On the Website, we use cookies, i.e. IT data, in particular text files, which are stored on the User's end device (e.g. computer, tablet, telephone). Cookies are used for the following purposes:

  1. adjusting the content of the Website to the User's preferences;
  2. optimising the use of the Website, in particular by recognising the User's end device,
  3. creating statistics,
  4. maintaining the User's session.

How to delete cookies
